Office Manager

The Office Manager shall be responsible for managing the onsite administrative operations of the Troy office, including supervising all non-attorney personnel; managing the Firm’s local operating and information systems; assisting in the marketing of the Firm’s legal services and client development activities and managing and supervising the facilities of the Firm.

Job Duties

  • Recruit, onboard  and manage staff members.
  • Coordinate PTO schedules and assign coverage.
  • Conduct monthly staff meetings and annual performance evaluations.
  • Work with Office Managing Partner on office initiatives and issues.
  • Onsite facilities management.
  • SharePoint – Client Project Coordinator duties, including administrative liaison with clients, managing procedures and workflow, training new coordinators, database work assigning/creating new projects and updating existing projects.
  • Plan office parties, celebration lunches, etc.
  • Process client sponsorships (marketing/client promotion), including recordkeeping re billings, prior sponsorships, attendee names, etc.
  • Oversee office subscriptions.
  • Help attorneys and staff members solve problems by finding reliable solutions while working within Firm policies and procedures.

Education and Qualifications

  • Ability to communicate with clients, staff and attorneys in a professional manner.
  • Detail-oriented with strong organizational and time management skills.
  • Excellent administrative, writing, grammar and proofreading skills.
  • Ability to express creative ideas clearly, persuasively, effectively and accurately.
  • High level of discretion and confidentiality with the ability to operate under minimal supervision.
  • Prior supervisory experience.
  • BS in Business Management or other applicable training/experience.
  • Prior law firm or professional service experience a plus.
